Step 1. Fill Out the Questionnaire and Submit the Exchange Experience Report
Students should submit a testimonial of at least 1000 words in either English or Chinese describing their experience during their exchange. There is no specified format for these reports, but should be around 1,000 words long and include photos portraying your student life abroad. You can share any information that might help future exchange/visiting students, such as courses offered, accommodation, local/student activities, expenses (insurance/living/miscellaneous), reflections, experiences, or even advice for fellow future exchange students.
Your exchange/visiting program will only be considered complete after you submit your experience report. The Office of International Affairs shall be granted permission to use said materials in relevant campaigns without further consent. After submitting your report, you should complete credit transfer, scholarship conclusion, graduation, and other applicable administrative procedures.
Step 2. Await Notification from NTU Study Abroad to Collect Your Transcript of Records
As host universities will have to collect the results of all students before distributing the transcripts, they may provide the students’ transcripts a few months after the end of the exchange student programs.
Transcripts are typically delivered as follows:
- Hard Copies: Sent by post to the OIA or directly to the student’s address
- Soft Copies (Digital): Sent via email or to be downloaded from the host institution’s system
- 1. If your transcripts were directly provided to you, please inform your regional coordinator at OIA to ensure a smooth administrative process.
- 2. If soft copies are provided to you, please email them to your regional coordinator for authentication purposes.
Certain host institutions in non-English speaking countries may not provide official English transcripts. In such cases, download the “Certificate of Course Enrollment” form and fill in the English names of the courses taken. You will need this for your credit transfer application.
Step 3. Register Your Grades and Apply for Credit Transfer
Please register your grades listed on your transcript(s) to the Office of Academic Affairs’ “Exchange Student Grade Registration System” and follow their guidelines. Please note, the before-mentioned system is administered by the Office of Academic Affairs.
Step 4. Submit Documents to the Department/Institute Office
- Original copy of full NTU transcripts
- Original copy of official English transcripts or certification from the host institution (or soft copies certified by the OIA)
- Course syllabi and other documents required by your department/institute (required for credit transfer)
After evaluation by your department/institute, your application will be sent to the Office of Academic Affairs for further review. If your application for credit transfer is successful, it will be recorded in your NTU transcripts.
Warm Reminders
- The total number of credits graduate students may transfer may not exceed half of the required number of credits for graduation. This does not apply to exceptional cases that have been acknowledged by the Vice President for Academic Affairs.
- Students that will meet graduation requirements after transferring the credits taken abroad should complete their credit transfer procedures no later than the first Friday of the new semester. E.g., Students that went for a one-year student exchange program in the 2022/2023 AY (from August 2022 to June 2023) and will be graduating immediately after transferring the credits obtained during their exchange must complete their credit transfer and graduation procedures by the end of the first week of the 1st (Fall) semester of the 2023/2024 AY (September 2023). Students that have completed all relevant procedures by then will be considered to have graduated in the 2nd (Spring) semester of the 2022/2023 AY. Otherwise, they will have to apply for an extension of school year and graduate in the 1st (Fall) semester of the 2023/2024 AY. If you plan on furthering your studies abroad and may need the transcripts from your exchange, we recommend that you obtain a few copies (subject to additional charges) from your host institution before returning to Taiwan.
- Credits obtained during exchange/visiting programs at host institutions from Mainland China that are recognized by the MOE may be transferred to NTU. In principle, even if there are changes in the policies regarding student identity in Mainland China, credits obtained will be handled according to the policies in effect at the time your exchange.
